Job Description

Our business support team is growing! 

We are seeking a well-presented Business Support Assistant to join our business support team on a part-time basis Monday - Friday 12:00 - 16:00 at our office in Cheltenham.

You will work closely with the Business and Operation Manager to provide administrative assistance across multiple functions in a varied and interesting role.

About You

The successful candidate will have previous administrative and reception experience in the legal or professional services industries (desirable), will be well-organised with a methodical approach to work, great interpersonal skills along with:.  

  • Excellent general office administration skills including data entry, photocopying, drafting emails and scheduling meetings etc.
  • Excellent team ethos and superb communication skills.
  • IT literate - confident in using and learning different IT software packages.
  • The ability to multi-task, prioritise tasks and remain calm under pressure.
  • Ability to work to a high degree of accuracy and a good eye for detail.
  • Great time management skills to ensure deadlines are met.
  • Professional telephone manner, confident in taking incoming business calls, transferring calls, note taking and greeting visitors
  • Adaptable and flexible, able to embrace change and adapt duties to support the needs of the business.

About the Role 

The role of the Business Support Assistant will be varied and will continue to evolve over time. This is the perfect role for someone who loves completing lots of different tasks to support the business.  Responsibilities will include, but not limited to:

  • Providing ad-hoc reception cover ensuring visitors are given a warm welcome and dealt with appropriately.
  • Act as a main contact for reception overflow calls, ensuring calls are answered in a timely manner and concise messages are taken and passed onto the relevant person if not available.
  • Undertake general office administration tasks as required
  • Process incoming and outgoing post, scanning, and allocation incoming post as a priority and delivering to the relevant person/department . Collect and frank outgoing post for collection. on occasions take post to the post office.
  • Keep kitchen areas clean and tidy, replenish tea/coffee supplies etc.
  • Provide ad-hoc assistance to business support projects as required
  • Assist the Business and Operations Manager with day-to-day tasks.
