Administration of Affairs Paralegal - City centre office

Job Description

We are seeking a capable, organised and compassionate Administration of Affairs Paralegal to join our Private Client team. This role would suit someone with strong attention to detail, excellent communication skills and a genuine interest in supporting vulnerable clients and their families.

The successful candidate will work closely with the Directors and other senior members of the team to assist with the day-to-day management of clients’ financial affairs. This will include supporting matters where the Directors have been appointed as Attorneys, Deputies or otherwise act in a fiduciary capacity on behalf of clients who require assistance with managing their finances and personal affairs.

The role will involve a combination of legal, financial and administrative work. You will help ensure that clients’ affairs are managed carefully, sensitively and efficiently, while maintaining accurate records and providing a high standard of client care.

Key Responsibilities

  • Assisting the Directors with the day-to-day administration and management of clients’ financial affairs.
  • Processing payments for care fees, household bills, utilities and other liabilities.
  • Monitoring client bank accounts, reconciling transactions and maintaining accurate financial records and schedules.
  • Liaising with clients, family members, care providers, financial institutions, estate agents and other third parties.
  • Supporting the preparation of documentation connected with tax returns, care funding assessments, benefit applications and related financial administration.
  • Assisting with the sale and purchase of properties where required, including liaising with estate agents and other professionals on behalf of the Directors.
  • Attending client meetings where appropriate and preparing attendance notes or follow-up correspondence.
  • Assisting with onboarding new administration of affairs clients.
  • Maintaining accurate client files, diarising key dates and ensuring compliance with internal procedures.
  • Responding to queries from clients, family members, care providers and professional contacts in a sensitive and professional manner.
  • Ensuring all file management, record keeping and client communications are maintained to a high professional standard.

What we are looking for:

Our ideal candidate will have:

  • Previous experience as a paralegal, legal assistant, legal secretary or administrator, ideally within Private Client or a related area.
  • Excellent written and verbal communication skills.
  • A sensitive, professional and confidential approach when dealing with clients and families.
  • Strong organisational skills and attention to detail.
  • Confidence handling financial information and maintaining accurate records.
  • The ability to manage competing priorities and work effectively as part of a team.
  • A proactive, practical and client-focused approach.
  • Confidence using technology and a willingness to work with new systems and AI tools where appropriate.
  • High standards of client care, with empathy and understanding for clients who may be experiencing difficult circumstances.

This role is best suited to someone looking to grow and develop in the position over the long term. It may appeal to a Legal Assistant ready for the next stage of their career, or to a Paralegal seeking to build specialist expertise in this area. Candidates looking to secure a Trainee Solicitor role in the near future are unlikely to find this position the right fit.
